OverviewIn addition to managing a wide variety of events at the complex, the Event Manager also serves as a multi-faceted event manager for producing all levels and types of events. Prepares event outlines and scaled drawings of event areas. Coordinates equipment and personnel service distribution and other functions and duties as required by the event. Serves as manager on-site, delegating assignments and maintaining contact with the event promoter from planning the event, move-in of the event to the facility, the actual event, and move-out of the event. As Event Manager, you are responsible for supervising facility operations, including outside contractors and facility employees. Prepares and compiles and communicates lessee event expense information for use by the business department in financial settlement of the event. The Event Manager will also support overseeing the box office and will control ticket inventories and oversee the processing of orders and payments. Utilizing ticketing software, he/she will create ticketing for events and financial reports and manage and participate in the development and administration of an annual budget. The Event Manager is responsible for the selection, training, motivation, and evaluation of all part-time personnel and the management of all aspects of customer service related to internal and external customers. The ideal candidate will have experience in ticketing, staff management, and customer service. This role pays an annual salary of $45,000-$50,000 Benefits for Full-Time roles: Health, dental, and vision insurance; 401(k) Savings Plan, 401(k) matching, and Paid Time Off (vacation days, sick days, and 11 holidays) This position will remain open until October 30, 2026.ResponsibilitiesAdvance, plan, service, and supervise all eventsPlan, direct and evaluate the work of subordinatesProvide leadership and guidance for event personnelAnalyze challenges, identify alternative solutions, and project consequences of proposed actions and implement recommendations in support of organizational objectivesMonitors assigned event requirements as interfaced with other events and activities scheduled throughout the complex. Exhibits working knowledge of all event-related and departmental procedures in order to facilitate proper coordination of activities.Communicate clearly and conciselyEstablish and maintain effective working relationships with lessees/clients, co-workers, part-time staff, contractors, patrons/public and municipal officialsWork a flexible schedule, including long nights, early mornings, weekends & holidays as neededComplete all duties with a customer service focus through teamwork & dedication to Oak View Group’s principlesAssist in the preparation of building to meet the requirements of upcoming events/showsAssist with the completion of pre-show event financial estimatesAssist with the completion of post-show event settlementsAdvise lessees on services available from independent contractors for eventsRecruit, train, and supervise event staffCreate work schedules for event staff, delegate assignments, and review performance/resultsFunction as a liaison between users of the facility and the facility staffRecommend and evaluate required event staffing levelsCoordinate communication between building staff and show staff during load-in and load-out.Investigate and resolve event-related complaints in a professional manner, ensuring customer satisfactionMake hospitality arrangements as neededCreate and distribute detailed data sheets prior to every eventPrepare and approve bi-weekly payroll for all event staffCoordinate service needs with the food and Beverage provider & make hospitality arrangements as neededServe as Manager on Duty as scheduledBuild all events in the ticketing system, including seating manifests, price tables, hold/kills, discounts, pre-sales, etc.Oversee all financial reconciliation in regards to daily reports, monthly reports and event settlementManage all information being sent and posted through ticketing systemAct as systems administrator for ticketing system and liaison between staff, promoters, presenters and the facilityResponsible for system upgrades, occasional testing of new software and routine maintenance and trouble-shootingPrepare all ticketing reports for and work with tenants on system training and related premium ticketing servicesUpdate and relay all box-office related event information to each department and clientInvestigate and resolve ticket-related issuesResponsible for season ticket renewal mailings, processing of season ticket monies and printing/mailing of season ticketsResponsible for all season ticket holder customer service-related upgrades, priority point systems, etc.Responsible for the collection of all ticket monies, tracking of accounts payable/receivable and preparation of sales reports/ticket revenue updates (this includes parking monies)Work with sales reports/ticket revenue updatesWork with sales and marketing departments to set up various ticket discounts and promotionsOversee will call for all ticketed events, ensuring compliance to all relevant ticket lawsProcess/fill approved charity ticket requests; document all complimentary tickets issuedTrack attendance for all events, including pre-sales, walk-ups, promotions, discounts, etc.Process donor seat selection and retentionManage of all aspects of customer service as it relates to both internal and external customers, enforcing Oak View Group's principles and corporate initiativesPlan, organize, and coordinate the box office efforts for a public assembly facility, stadium. arena or convention centerDevelop and implement comprehensive ticket sales programsPlan, direct, evaluate and provide leadership to Box Office personnelEstablish and maintain effective working relationships with internal/external customersAnalyze challenges, identify alternative solutions, project consequences of proposed actions and implement recommendations in support of organizational objectivesComprehend and make inferences from written sales materialsExercise confidentiality and integrity upon handling customer personal/financial informationComplete all duties with a customer service focus through teamwork and dedication to Oak View Group’s principlesOther duties and responsibilities as assignedQualifications3-5 years of increasingly responsible experience in event management in a stadium, arena, convention center, or public assembly facility setting. Will train the right candidateBachelor’s degree from an accredited college/university with major coursework in facility management, hospitality management, business, or related fieldStrong oral and written communication skillsStrong computer skills in Microsoft Office applications, word processing, and InternetKnowledge of operational characteristics of eventsAbility to identify the needs of users of the facilityWorking knowledge of the principles of facility management, services, and equipment for a similar facilityExperience with budget preparation and control.Previous ticketing/box office experience is a plusKnowledge of crowd management and control techniquesKnowledge of customer service practicesKnowledge of principles of supervision, scheduling, and training employeesDemonstrated familiarity with facility use contractsKnowledge of fire and public safety regulationsKnowledge of A/V equipment and electronic systems in public assembly facilitiesExperience with budget preparation and controlFamiliarity with terminology used in entertainment/convention/public assembly settingsExperience with AutoCAD is preferred but not requiredCertified Meeting Professional Certification (CMP) is a plus, but not required
