Job Function: With the Director of Women’s Basketball, facilitate the administration and conduct of the Division I Women’s Basketball Championship, including oversight and facilitation of ancillary events, safety and security considerations, brand management, special projects, liaison to corporate relations staff and CCP partner management, and administration of the championship. Additionally, this position is responsible for serving as the administrator of the Division III Women’s Basketball Championship and implementing the policies and procedures, as determined by the NCAA Division III Women’s Basketball Committee. Job Responsibilities Administration of the Division I Women’s Basketball Championship. Serve as support liaison to special projects of internal departments overseeing branding, social media, and championship event marketing (e.g., logo launches, Women’s Basketball Digital Road Trip). Primary liaison for coordination and leading all women’s basketball working group and Women’s Final Four local organizing committee meetings. Primary liaison for safety and security issues related to ancillary events and participate in NCAA ancillary events monthly public safety and security meetings in coordination with the NCAA WBB security liaison; and, attend appropriate on-site Women's Final Four planning sessions, where required. Oversee the special event ambush marketing zone (“clean zone”) in collaboration with the Local Organizing Committee and NCAA office of legal affairs to actively protect against unauthorized promotional activities during the women’s basketball regionals and Women’s Final Four. Oversight of in-venue and ancillary event branding management and game presentation. Serve as site representative for the Women’s Basketball Championship. Provide support to the Directors and Vice President of Women’s Basketball. Other duties as assigned. Administration of the Division III Women’s Basketball Championship. Coordinating the selections process for the championship. Prepare and distribute agendas and supplements for committee, host/local organizing committees, and site representative meetings as needed for championship planning. Oversee game operations for preliminary round host sites and championship site. Work with media coordination staff to develop a press release and bracket for distribution; Assist the Division III Women’s Basketball National Coordinator of Officials in executing their role as the assigner of the Division III Women’s Basketball Championship. Includes: Preparing, distributing and collecting items to/from all Division III Women’s Basketball Conference Coordinators. Preparing and presenting educational webinars for Division III Women’s Basketball coaches and officials. Other miscellaneous officiating operations relative to the championship. Develop and disseminate electronic correspondence to internal and external constituents. Includes memorandums, letters, certificates, bid information, reports, officials, volunteers, and sport committees. Revise, edit, publish and post manuals for the Division III Women’s Basketball Championship, including the pre-championship, host operations, committee, participant and site rep manuals. Act as liaison to Short’s Travel to coordinate arrangements relative to committee meetings, including preparing hotel contracts, rooming lists, catering orders, special events or dinners and financial reconciliation at conclusion of meetings for Division III Women’s Basketball. Respond to inquiries and remain point of contact for hotel rooms at annual meetings (committee) and championship site (committee, Championships and Alliances staff and NCAA constituents) for Division III Women’s Basketball Championship. Serve as point person for posting Division III Women’s Basketball information to ncaa.org for Championships and Alliances. Participate in the overall evaluation of championships. Oversight of Women’s Final Four Ancillary Event programs (managed by TNT Events/Solomon Group). Manage NCAA/TNT Events/Solomon Group budget, contracts and risk management for Ancillary Events including Tourney Town (including Beyond the Baseline), Super Saturday Concert and Four it All Fest. Maintain oversight of all aspects of ancillary events, including budget, all pre-planning, execution, and coordination with the Local Organizing Committee (LOC) and others. Assist with preparation of Ancillary Events, including pre-planning, operations and logistics for installation, event execution and tear-down for Tourney Town, Super Saturday Concert and Four it All Fest. NCAA representative in the Final Four Ancillary Events Command Center and oversight of NCAA Risk Management staff within the Events Command Center. Manage all space assignments for the convention center and NCAA activations and/or programming identified within the convention center. Oversight and Management of the Ancillary Events (managed by NCAA/LOC). Oversight of ancillary programming activation including, but not limited to: the Ambassador Program, Beyond the Baseline, Bounce and Selections marketing initiative. Attend monthly LOC planning meetings on the planning and execution of ancillary events. Conduct standing meetings with internal department leads as necessary (e.g., Championships Engagement, Community, Office of Inclusion, Corporate Relations). Oversight of ancillary events at regional rounds. Liaison with NCAA security management team and NCAA security liaison on partnership with external event producer, and NCAA requirements at all ancillary events. Job Requirements Education Required: High school diploma or equivalent. Bachelor’s and advanced degree preferred. Two to four years of experience in athletics administration, with preferred experience in event management. Five + years of overall experience preferred. Estimated Travel Required <30%. This position will be based out of the national office in Indianapolis, Indiana. Current work environment is hybrid; 3 days in the office and 2 days are remote.
