The Event Manager provides professional client service support in planning, organizing, and managing events within the facility. Under general supervision, coordinates all event preparation and performance aspects related to the facility for events including but not limited to, banquets, conventions, sporting events, trade shows, and meetings. Acts as liaison between the facility and clients, ensuring all client requirements are met and facility rules, regulations, and policies are adhered to. Essential Duties and ResponsibilitiesInclude the following. Other duties and responsibilities may be assigned.Plan, organize, and manage events at the Albuquerque Convention Center, focusing on trade shows, conventions, large-scale banquets, and special events.Develop assignment schedules for all staffing requirements for the proper event presentation.Assists in the training and mentorship of the Event Coordinator.Meet with client groups to plan and organize assigned meetings and events. Guide clients in event preparation by interpreting and explaining contract provisions, policies, and procedures.Research, review, and recommend equipment, materials, and supplies required for event services and planning.Coordinate outside service needs with food and beverage, contractors, decorators, or other vendors.Coordinate with Marketing and IT department all media entry into the building before, during or immediately following events.Keep clients informed as to status of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, insurance requirements and other relevant details.Maintain the proper image and generate positive public relations with clients, exhibitors, convention center partners, patrons, and staff.Make immediate decisions and communicate with all users of the facility in an emergency.Communicate with clients to obtain necessary technical requirements and other event-related information.Monitors in-house set-up, acting as a liaison between clients and ACC staff in order to ensure successful events. Ensures the facility equipment set-up and labor provided meet the requirements of contractual agreements with constraints of safety, health and fire code standards.Ensure all pertinent information is obtained, compiled in event files, and distributed to proper facility departments. Includes the submittal of purchase orders for all event-related costs. Reconciles all post-event invoices and assists the finance department with timely final event billing documentation.Compile and distribute all post-event notes to address immediate action items and for future event reference. Coordinate and satisfy the requirements of multiple events occurring simultaneously.Respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.Engage in decisions related to crowd management promptly and decisively during crises.Work irregular schedules to ensure proper supervision of all events and activities scheduled in the facility, as required. This position manages complex and confidential company financial records and operates with significant discretion and autonomy.KEY RESPONSIBILITIES:• Participate in the monthly close process, including preliminary review of financial statements, preparation and posting of journal entries, and explanation of budget to actual variances.• Assist in preparation of monthly forecasts and annual budget for assigned department(s) through analysis of accounts and working hand-in-hand with department leaders.• Work with internal departments and management to track and invoice external partners/vendors.• Execute in accordance with corporate accounting policies and procedures and recommend new ideas or changes to current policies and procedures, as needed.• Analyze and reconcile various general ledger accounts monthly.• Continuously evaluate business processes and implement changes that increase efficiencies.• Manage and lead special projects.• Manage, direct, and support the accounting analyst regarding a range of issues.• Perform other duties as assigned.MINIMUM KNOWLEDGE, SKILLS AND ABILITIES: • Bachelor’s degree in Accounting or Finance.• Minimum of six years related experience. The General Manager is responsible for overseeing and directing the seamless running of the restaurant, by providing a highly efficient and effective service and supporting the delivery of outstanding customer service. Assisting in the development and formulation of policies, procedures, and practices to support the operational needs of the restaurant. What You Will DoLead, direct, and manage all department operations. Maintain regular presence throughout the department. Establish and maintain accurate inventory records. Participate in periodic department inventories. Recommend appropriate actions based on the results of inventory reporting. Monitor operations to ensure a consistent sequence of service is followed, and all brand standards are properly executed. Ensure the proper handling, maintenance, storage, and security of all department equipment. Create and develop goals and operational strategies for the operations that are aligned with the Seamark brand. Communicate the role that each employee has in their achievement and ensure accountability. Monitor actual sales, revenues, and expenses to determine variances, assess goal accomplishments, and adjust strategies, and forecasts accordingly. Review weekly forecasts and planning of cost expenditures to correspond to forecasted occupancy and costs. Balance staffing levels and labor to achieve ideal employee/guest engagement and cost ratio. Train, coach, and counsel managers, supervisors, and employees to achieve their career goals and maximize their potential. Conduct regular meetings with staff to communicate global programs, implement new products and procedures, and discuss areas of opportunities, special events, and other activities. Participate in and ensure pre-shifts are being conducted in the department. Resolve guest complaints and implement changes to prevent future issues. Monitor quality assurance program scores and guest feedback. Take corrective action when necessary. Ensure all property policies and procedures are fully implemented in the department, including health and safety guidelines Must be able to maintain a schedule availability flexible to the business demands.
