The position requires strong organizational skills, attention to detail, and the ability to manage multiple workstreams in a dynamic and high-performance environment.KEY RESPONSIBILITIES Provide direct operational and administrative support to the Executive Director of Administration. Manage and coordinate the Director’s agenda, including scheduling meetings and prioritizing commitments. Prepare meeting materials, including agendas, presentations, and briefing documents. Draft and distribute meeting minutes, ensuring accurate documentation of decisions, action items, and next steps. Track follow-up actions and ensure timely progress with functional area leaders. Monitor ongoing projects and support coordination across areas under the Administration Division. Facilitate communication and alignment between departments to ensure operational efficiency. Support the development of reports, dashboards, and internal documentation. Assist in organizing workshops, coordinating meetings, and planning sessions. Ensure proper document management and information flow within the Administration Division. YOUR PROFILE Effective Communication and Trust Building: Skilled in fostering open communication and creating an environment of trust. Capable of understanding and addressing the needs and expectations of others, identifying and resolving conflicts, and delivering impactful presentations in a matrix organization.
