OverviewUnder the direction of the Director of Public Safety & Transportation, the Public Safety Operations Manager is responsible for delivering the highest level of customer service while maximizing operational efficiency. Main responsibilities include directing overall leadership, planning, administration, and management of assigned Public Safety & Transportation Department operations, including transportation operations, loading dock operations, event logistics, parking operations, and other operational functions as assigned. WHAT YOU’LL DO The Financial Coordinator is responsible for maintaining the accuracy, integrity, and security of financial data for Indianapolis Motor Speedway (IMS) and other supported tracks. This role provides financial, accounting, and administrative support to the Ticket Department by ensuring transactions are processed accurately, reconciled promptly, and reported effectively. You’ll also partner with the Vice President of Ticket Sales and Service to develop, monitor, and forecast departmental budgets while supporting fraud prevention, compliance, and event operations. In this role, you’ll collaborate across departments and help ensure the financial side of our ticketing operations runs smoothly in a fast-paced environment. YOUR RESPONSIBILITIES Provide financial, accounting and administration support for Ticket Department activities, including: Manage Ticket and Credential Office cash receipts, including daily deposits and recordkeeping, while ensuring all internal controls are followed. Track and reconcile credit card transactions related to ticket sales, parking, camping, group sales, and other ticket-related products. Partner with the Applications Support Team to identify and resolve ticketing web-processing issues. Process and manage customer account credits and refunds resulting from overpayments, cancellations, or other adjustments. Reconcile Ticket Department funds and transactions. Process departmental purchasing card expenses and employee expense reimbursements. Manage Ticket Office payroll processing and timesheet administration. Complete monthly accounting responsibilities and participate in monthly close meetings. Prepare and reconcile month-end cash and check deposits. Fraud Prevention and Credit Card Disputes: Monitor and help prevent fraudulent activity using Kount/Ekata and SCORE. Collaborate with Ticketing, IT, and Information Systems teams to optimize fraud-detection processes and system integrations. Develop and maintain fraud-review rules to identify suspicious transactions. Partner directly with Kount/Ekata support to upload chargeback data and enhance fraud-prevention efforts in alignment with industry standards. Manage and resolve credit card disputes and chargebacks with all major card providers. Contract Ticket Management: Assign, print, and distribute contractual tickets to the Client Services, Marketing, and Community Relations teams. Coordinate with the Contract Administration and Premium Sales teams to ensure accurate ticket allocations. Use CRM and ticketing systems to accurately process contractual ticket orders. Systems, Compliance & Training: Maintain proficiency in the systems required for the role, including Microsoft Office, SCORE, Kount/Ekata, CRM, Great Plains, and other business applications. Monitor adherence to PCI compliance standards and provide guidance and training to Ticket Office staff Develop and regularly deliver fraud-prevention training to Ticket Office staff. Assist Vice President, Ticket Sales and Service with the following: Budget Assist with the preparation and monitoring of the annual Ticket Department budget. Prepare monthly forecast updates. Monitor departmental spending and identify budget variances. Purchasing and Inventory Management Purchase Ticket Department supplies as needed. Create and submit purchase orders. Ensure purchases are charged to the appropriate departmental budgets. Maintain inventory of all Ticket Office products and supplies, including inventory for the IMS Marketplace Partner with Accounting and Financial Operations Teams to: Determine cash-on-hand requirements for Ticket Office operations, remote ticket locations, and event-related gate and parking sales. Research and assist in resolving month-end reconciliation discrepancies between SCORE and Great Plains. Investigate and resolve issues involving Ticket Office-issued checks, including lost or unclaimed payments. Support annual audit preparation and help ensure accurate financial reporting. Develop meeting agendas and lead IMS Marketplace payout-review meetings. Collaborate with IT and Accounting Teams to: Perform weekly reconciliation reviews and investigate discrepancies. Manage monthly SCORE cash reconciliations and investigate related discrepancies and backlogs. Research monthly SCORE accounts receivable discrepancies and manage the related backlog. Maintain product coding for IMS, INDYCAR, and other supported tracks. Develop agendas and lead biweekly cross-functional meetings to identify, research, and resolve SCORE-related issues. Event Operations Support: Support the IT and Ticketing teams with the setup and operation of more than 30 mobile point-of-sale (POS) devices, including application updates, password resets, pricing changes, and troubleshooting. Support the financial aspects of bag-sale operations, including cash management, accounting reports, and post-event reconciliation. Prepare post-event reports highlighting sales and scan activity by POS device. Monitor event specific accounts receivables to ensure zero balance by end of each event day. Additional Responsibilities: Manage Brickyard Bucks and Penske Bucks orders, inventory, and distribution. Provide customer service support during peak periods by: Responding to customer inquiries by phone, email and in person. Processing ticket renewals, upgrades and applications for all events. Preparing and fulfilling ticket orders for all events. Demonstrate commitment to the organization's Vision, Mission and Values. Perform other duties as assigned. As we move into sports beyond the NBA, we'd expect this role to grow into building models for factor optimization.
